Terms & Conditions for The Rose Reel Co.

These Terms and Conditions form the basis of the contract between The Rose Reel Co. ("the Content Creator", "we", "us") and the Client ("you", "the Couple"). By paying your booking fee, you agree to be bound by these terms.

1. Booking & Securing Your Date

  • 1.1 To secure your wedding date with The Rose Reel Co., a non-refundable booking fee of [Insert percentage, e.g., 20% or flat amount, e.g., £100] is required alongside a signed contract.

  • 1.2 No date is held or reserved until both the booking fee has cleared and the contract is signed.

  • 1.3 The remaining balance is strictly due 7 days before your wedding date. If payment is not received by this deadline, we reserve the right to cancel the booking and retain the booking fee.

2. Cancellations & Rescheduling

  • 2.1 By the Client: If you choose to cancel your booking, notice must be given in writing. The following cancellation charges apply based on notice given:

    • More than 90 days before the wedding: The booking fee is retained by us; any other balances paid toward the package will be refunded.

    • 31 to 90 days before the wedding: The booking fee is retained, and 50% of the remaining package balance is legally due.

    • 30 days or fewer before the wedding: 100% of the total package price is due, and no refunds will be issued.

  • 2.2 Rescheduling: If you change your wedding date, we will do our best to accommodate the new date. If we are available, your booking fee will transfer over. If we are unavailable on your new date, it will be treated as a client cancellation.

  • 2.3 By The Rose Reel Co.: In the highly unlikely event of severe illness, injury, or an extreme emergency preventing us from attending, we will make every effort to secure a trusted, professional replacement content creator. If no suitable replacement can be found, you will receive a 100% full refund (including the booking fee). Our liability is strictly limited to a refund of monies paid.

3. Destination Weddings & Travel Expenses

  • 3.1 For weddings outside of the East Midlands or overseas, travel and accommodation expenses must be covered by the Client as agreed upon during booking.

  • 3.2 In the event of a client cancellation, all travel, flight, and accommodation expenses already purchased by The Rose Reel Co. are 100% non-refundable, as these cannot be recovered from airlines or booking providers.

4. Delivery & Content Turnaround Times

  • 4.1 Raw Clips: All unedited raw phone footage and photo clips will be delivered via a shared digital folder (e.g., Google Drive/Dropbox) within 24 hours of the conclusion of the booking.

  • 4.2 Edited Content: Any edited Reels, TikToks, or highlight videos included in your package will be delivered within 48 hours of the event conclusion.

  • 4.3 Access: It is the Client’s responsibility to download and backup all files. Digital folders will remain active for 30 days after delivery, after which the link may expire.

5. Artistic & Creative Licence

  • 5.1 By booking The Rose Reel Co., you acknowledge and trust our creative, candid, and "social-first" style.

  • 5.2 We will make every effort to capture requested moments, but no specific shot or clip is 100% guaranteed. Refunds or partial refunds will not be issued based on personal aesthetic preferences, editing styles, or subjective tastes.

  • 5.3 Technical Failures: We use high-quality smartphone equipment, backup power banks, and secure storage. However, in the rare event of total equipment failure, file corruption, or data loss, our financial liability is strictly limited to a refund of the amount paid for our services.

6. Working Conditions & Cooperating with Vendors

  • 6.1 Meals: For bookings lasting longer than 5 hours, the Client must provide a hot meal or an appropriate break period for the Content Creator to obtain food.

  • 6.2 Professional Photographers/Videographers: Content creation is a complementary service designed to capture a "guest perspective." We work respectfully alongside your main photographer and videographer. We are not responsible if they obstruct a shot, or if their rules/positioning prevent us from capturing a specific angle.

7. Copyright & Usage Rights

  • 7.1 For the Client: You receive full personal usage rights to all raw clips and edited videos. You can share, post, and distribute them online freely. You may not sell the footage or use it for commercial profit.

  • 7.2 For The Rose Reel Co.: Unless explicitly opted out in writing prior to the wedding, you grant us permission to use edited reels, TikToks, and raw clips on our website, social media, and portfolio for marketing and promotional purposes.

8. Governing Law

  • This contract is governed by and construed in accordance with the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of the United Kingdom.
